Understanding Roles and Permissions

What each SkoolHive role can see and do, from School Owner down to Parent.

SkoolHive enforces permissions on the server, not just by hiding buttons - a role that can't do something can't do it even by guessing a URL.

The roles

  • School Owner - full access to everything, including billing/subscription and adding other branches.
  • Principal - full academic and operational access, same as Owner minus billing.
  • Coordinator - academic management (curriculum, timetable, interventions) without staff/finance administration.
  • School Admin - school setup, staff, admissions, and operations, without academic-record management.
  • Admission Officer - manages the admissions pipeline.
  • Teacher - attendance and academics for their own assigned sections only.
  • Accountant - fee and finance management.
  • Reception - front-desk operations (visitors, basic student lookup).
  • Parent - their own linked children's attendance, results, fees, and messages only.

What this means day to day

A Teacher can mark attendance and enter marks only for sections they're assigned to - not the whole school. A Parent only ever sees their own children, never other students, regardless of what they ask the AI assistant. Billing and subscription changes are restricted to the School Owner; anyone else asking about upgrading a plan will be told to contact their school owner.
