Academic Years
How Student Promotion Works
A student's identity is permanent; promotion creates a new enrollment for the next year rather than editing the old one.

The single most important idea in SkoolHive's academic model: a student is a permanent identity, and an enrollment is that student's record for one specific academic year. Promotion never rewrites the past - it creates something new.
The promotion workflow
- Open Promotion, select the current academic year and class you're promoting from.
- Review the promotion preview - it flags real warnings (e.g. a student with very low attendance) without blocking you.
- Make a decision per student: Promote (move up a grade), Repeat (same grade again), Withdraw, Transfer, or Graduate.
- Confirm. For every student, their current enrollment is closed (marked PROMOTED, REPEATED, etc.) and a brand new enrollment is created for the new academic year and class/section.
What stays untouched
- Attendance and results from the previous year remain exactly as recorded, tied to the old (now closed) enrollment - they are never edited or deleted.
- Fees are scoped per academic year, so last year's invoices stay on last year's books.
- ID cards already issued remain valid records of that year; a new card is generated for the new class if needed.
- Teachers and subjects are reassigned fresh for the new enrollment, since a student's teachers usually change with their class.
- Parent accounts stay linked to the same student - nothing about the guardian relationship changes.
This is also why a student who repeats a grade, or transfers sections mid-year, never loses or blends their older records - every year of their history is its own real, closed-book enrollment.
