Importing Multiple Years of Historical Student Data

SkoolHive's data model treats a student's identity as permanent and separate from any single year's enrollment, which is what makes multi-year historical import possible without data loss.

Why this matters

If you import last year's Grade 5 roster and this year's Grade 6 roster separately, a student who appears in both is recognized as the same student (matched by admission number, or flagged for your review if the name looks different) with two separate enrollment records - one per year - rather than two unrelated people.

How to bring in several years

1. Run an import job per academic year, oldest first, selecting the correct academic year for each job.
2. Let AI Smart Import's duplicate detection link repeat students across years automatically where the admission number matches.
3. For years where a student's recorded name differs slightly from a later year's spreadsheet (a common real-world issue with old records), review the flagged "possible match" rows rather than accepting them blindly - confirm they're really the same student before merging.
